When a point-of-sale terminal fails mid-transaction, the cost is immediate: a stalled queue, abandoned baskets, and staff improvising with paper. Hardware faults account for a large share of POS outages, and most of them are predictable. Here are the five retail POS hardware problems we see most often, and what to do about each.
1. Freezes and slow terminals
A terminal that takes 10–15 seconds to process a card, or freezes when switching screens, is usually short on memory or running an out-of-date POS build on hardware that has drifted well past its service life.
- Keep the POS application and operating system patched on a schedule, not ad hoc
- Reboot terminals on a nightly cycle to clear memory
- Replace terminals on a planned 4–5 year refresh rather than waiting for failure
2. Barcode scanners, receipt printers and cash drawers
Peripherals take the most physical abuse and fail first. Scanners misread when the lens is dirty or the cable connector is loose; thermal printers jam from poor-quality paper or a worn cutter; cash drawers stop triggering when the printer port or solenoid wears out.
- Clean scanner windows and printer heads weekly
- Standardise on one paper spec across all stores
- Keep one spare of each peripheral per location — they are cheap next to lost sales
3. Network connectivity drops
If card processing or cloud POS “goes down” intermittently, the terminal is rarely the problem — the network is. Common causes are a consumer-grade router overheating under load, Wi-Fi interference near the till, or a single internet circuit with no failover.
- Put POS terminals on wired connections or a dedicated Wi-Fi VLAN, never the guest network
- Use a business-grade firewall/router rated for the store’s device count
- Add a cellular failover so card processing survives an internet outage

4. Payment processing and integration errors
Declines that should not happen, slow authorisations and reconciliation mismatches often trace back to outdated payment application software or a broken integration with a third-party gateway after an update.
- Keep payment terminals on the processor’s current certified firmware
- Test integrations in a staging environment before pushing POS updates to stores
- Confirm end-of-day batch settlement every morning
5. Data loss from drive failure or malware
Any POS still holding data locally is one drive failure or ransomware event away from losing sales history and customer records. Cloud POS mitigates this, but back-office servers, reporting databases and local configuration still need protection.
- Run automated, monitored backups with an offsite copy

- Test a restore at least twice a year
