SharePoint vs Shared Drives: What a Small Business Should Use

A shared drive is a mapped folder on a server or NAS – simple, familiar, but tied to the office and hard to secure granularly. SharePoint (with OneDrive sync) puts the same files in Microsoft 365 – reachable anywhere, versioned, and permissioned per library. For most small businesses, SharePoint is now the better default, if it is set up well.

Shared drive

  • For: familiar, fast on the local network, works with any application
  • Against: needs a VPN for remote access, coarse permissions, backup is your job, dies with the server

SharePoint / OneDrive

  • For: access from anywhere, version history, per-library permissions, no server to maintain, integrates with Teams
  • Against: needs a sensible structure or it sprawls; sync issues if badly designed; not ideal for very large files or certain legacy apps

Moving without chaos

  • Design the site and library structure first – by team or function, not a copy of the old mess
  • Set permissions at the library level, not file by file
  • Migrate in stages, archive what nobody has opened in two years
  • Train staff on where things now live and how sync works
  • Keep a third-party backup – SharePoint is not backed up by default

Is SharePoint better than a shared drive?

For most small businesses now, yes – remote access, versioning and no server maintenance outweigh the familiarity of a mapped drive. The exception is very large files or legacy applications that expect a local path.

Can we keep our folder structure when moving to SharePoint?

You can, but a straight copy usually brings the old problems along. A light redesign by team or function pays off.

Does SharePoint work offline?

Files synced through OneDrive are available offline and sync when you reconnect. Files you have not synced need a connection.
