Setting Up Microsoft Teams for a Small Business

Microsoft Teams is the chat, meetings and collaboration hub in Microsoft 365. Setting it up well for a small business means a deliberate team and channel structure, clear file storage, controlled external access, and light governance – so it stays useful instead of becoming a mess of abandoned channels.

Structure

  • Teams = a department or a major project, not every small topic
  • Channels = the work streams within that team
  • Keep it flat – too many teams and channels and people cannot find anything
  • Every team has a SharePoint site behind it (see SharePoint vs shared drives)

Files, meetings and calls

  • Files shared in a channel live in that team’s SharePoint – one source of truth
  • Meetings, recordings and transcripts flow into the relevant channel
  • Teams can also be your phone system (Teams Phone) – see our business phone options

External access and security

  • Decide whether guests (clients, contractors) can be added, and to which teams
  • Turn on MFA and conditional access – Teams is a way into your data
  • Sensitivity labels on teams that hold confidential work

Governance

  • A naming convention for teams
  • An owner for every team (at least two)
  • A review every 6-12 months – archive dead teams
  • A short guide for staff: where chat vs channel vs email

Frequently asked questions

How should we structure Teams for a small business?

One team per department or major project, channels for the work streams inside it, kept flat. Resist creating a team for every small topic.

Where do Teams files actually go?

Into the SharePoint site attached to that team. Chat attachments go into the sender’s OneDrive. Knowing this prevents ‘where is that file’ confusion.

Can clients or contractors join our Teams?

Yes, as guests, if you allow it. Control which teams accept guests and use sensitivity labels on confidential ones.

How does Scandifix help?

We set up the team and channel structure, configure external access and security, connect phone if wanted, and give your staff a short how-to.
